The Financial Administrator (FA) is an important role that supports the smooth running of Greenwich Students’ Union (GSU) Finance Department.

The FA holds both administrative and accounting responsibilities. They will interact daily with colleagues to answer queries and provide support to the Finance Department. Likewise, they will be responsible for reconciling GSU’s income.

GSU’s Finance Department:

GSU has a turnover of £4m, approximately £3m of which is provided through grants from the University of Greenwich and the University of Kent. The remaining £1m is generated through GSU’s commercial outlets.

Duties and key responsibilities

  1. To be the administrative support to the Finance Department.
  2. To own responsibility of GSU Finance’s inbox.
  3. To conduct accurate reconciliations of GSU’s income.

Job Description

Administrative support (20%)

  • Act as the department’s administrator for GSU’s accounting platform, 4Point Zero (4PZ) and it’s linked platforms (Basecone, Ezora and Twinfield). Working closely with HR, monitor new starters and leavers to ensure appropriate access to 4PZ and its linked platforms.
  • Take notes of team meetings and providing drafts to management.
  • Maintain the department’s yearly planner including – month-end, year-end, key organisational events, the external audit schedule and relevant annual leave.
  • Within the scope of this job description, liaise with relevant internal departments as required.
  • Assist with the maintenance of the Finance Department’s Financial Procedures Manual.
  • To take on ad hoc tasks, such as gathering data or conducting analysis as requested by management.
  • Any other tasks commensurate within the administrative scope of this role for the Finance Department.

GSU Finance Inbox (30%)

  • To take ownership of queries, providing prompt and helpful responses to colleagues and occasional external stakeholders.
  • Source information and escalate concerns to management as necessary.
  • Where appropriate, propose suggestions for improvement.

Income Reconciliation (50%)

  • Conduct accurate reconciliations of GSU’s income.
  • While conducting reconciliations of GSU’s income, be aware of irregularities and report these to management if observed.
  • Deliver the regular schedule of work to contribute to a timely month and year end process.

ESSENTIAL KNOWLEDGE & EXPERIENCE

  • A relevant qualification in Finance (Bachelors, Masters, part or fully qualified AAT, ACCA, or CIMA)
  • Employment experience in finance.

DESIREABLE KNOWELDGE & EXPERIENCE

  • Experience of working in Students’ Unions

Salary: £23,599 - £26,562 *

Working hours: Full-Time 35hrs per week

Location: Greenwich, with occasional travel to Avery Hill and Medway
